Clear expectations for Reserve purchases, custom engraving, delivery, cancellations, returns and the handcrafted character of every Bedminster Board.

The important points
Every Reserve is created for a particular Realtor or team. Because branding and personalization make the boards custom goods, an order becomes final once custom work begins. If a board arrives damaged, has a material defect or contains an engraving error caused by Bedminster Boards, we will work with the purchasing client to make it right.
Agreement and scope
These Terms and Order Policies apply to purchases from Bedminster Boards, use of this website and participation in The Reserve. “Bedminster Boards,” “we,” “us” and “our” refer to Bedminster Boards and its owners. “Client,” “customer,” “you” and “your” refer to the person or business placing or authorizing an order.
By placing an order, approving custom work, creating an account or using the website, you agree to the policies that apply at the time of the transaction. If a written quotation or order confirmation contains a term that specifically differs from this page, the written term for that order controls.
Our Privacy Policy explains how information associated with inquiries, personalization, accounts, payments and orders is handled.
Reserve orders
The Starter Reserve
The Starter Reserve is a one-time introductory order of three handcrafted boards. It allows a new Realtor or team to establish its reverse-side branding and use the complete Reserve process with a smaller first commitment.
Established-client replenishment
After the Starter Reserve, additional inventory is ordered in groups of ten unless Bedminster Boards agrees otherwise in writing. A quantity of “1” on the ten-board replenishment product means one group of ten boards; a quantity of “2” means twenty boards.
Reserved inventory
Paid Reserve inventory is held for the purchasing client until individual closing personalization is requested. There is no subscription and no automatic replenishment. Physical custody remains with Bedminster Boards until a board is personalized and released for delivery or shipment.
If reserved inventory is damaged while in our custody, we will replace the affected inventory without an additional board charge. If an account is inactive for an extended period or the Reserve service materially changes, we will contact the client to arrange completion, delivery or another reasonable resolution for remaining paid inventory.
Pricing and payment
- The price displayed on the applicable order page or written order confirmation at the time of purchase governs that order.
- Prices and package structures may change for future orders without changing an order already accepted and paid.
- Applicable sales tax, special delivery charges or other authorized charges will be shown at checkout or disclosed before the order is finalized.
- Online payments are processed through WooPayments and its payment partners. Bedminster Boards does not receive a complete payment-card number.
- An order may be reviewed for payment authorization, accuracy, capacity, materials and eligibility for the established-client replenishment offer.
If we cannot accept an order, we will notify the customer and refund any payment collected for the declined order. An automated order receipt confirms that the website received the transaction; it does not require us to accept fraudulent, incorrectly priced or otherwise invalid transactions.
Branding and personalization
The purchasing Realtor or team is responsible for providing accurate spelling, capitalization, dates, telephone numbers, web addresses, logos and other requested content. Please review information carefully before submitting it.
- Realtor branding is established for the client and used on the reverse side of Reserve gifts.
- Homeowner or family personalization is supplied when a particular closing approaches; it is not required when Reserve inventory is first purchased.
- If Bedminster Boards provides a proof, the client is responsible for checking and approving all content before production.
- After engraving begins, submitted or approved spelling and design choices cannot be changed on that board.
- We may decline content that is unlawful, infringing, threatening, discriminatory, obscene or otherwise inappropriate for our business.
By providing a logo, name, design or other material, the client confirms that it has permission to use that material and authorizes Bedminster Boards to reproduce it only as reasonably needed to prepare the order, maintain consistent Reserve branding and show a sample if separately permitted.
If we engrave information differently from the final information supplied or approved by the client, we will correct or replace the affected board. If the engraving matches the information supplied or approved, the cost of remaking the board is the client’s responsibility.
Production, closing requests and fulfillment
Bedminster Boards is a small, owner-operated workshop. Production and personalization timing depends on current capacity, material availability, order quantity and the information needed to complete custom work.
- Any stated completion, delivery or shipping date is an estimate until confirmed for the particular order or closing request.
- Clients should provide closing personalization and the needed date as early as reasonably possible.
- Rush requests are considered when capacity allows but are not guaranteed merely because a closing date has been supplied.
- Local delivery, pickup or shipping arrangements will be confirmed for each completed gift.
- The customer is responsible for providing an accurate, accessible delivery or shipping address and an appropriate recipient when required.
If an order cannot be completed or shipped within a promised time, we will communicate the delay and provide the options required by applicable law, which may include accepting a revised time or cancelling the unfulfilled portion for a refund.
Bedminster Boards is not responsible for a carrier’s delay, an incorrect address supplied by the client, a recipient’s unavailability or circumstances outside our reasonable control, but we will reasonably assist in resolving a delivery problem.
Order changes and cancellations
Contact us immediately if an order must be changed or cancelled. A requested change or cancellation is not effective until Bedminster Boards confirms it.
- If a cancellation is accepted before custom branding, personalization or other custom work begins, the cancelled amount will be refunded.
- Once custom work begins, the order or affected board is final and cannot be cancelled except where required by law or where Bedminster Boards agrees otherwise.
- A quantity, design or personalization change may affect price and timing.
- We cannot guarantee changes submitted after a proof has been approved or engraving has begun.
Bedminster Boards may cancel an order before completion if payment fails, required information is not provided, submitted material cannot lawfully be used, fulfillment becomes impossible or the order was accepted because of a clear pricing or technical error. Any unearned payment for a cancelled order will be refunded.
Returns and refunds
Reserve boards are made or branded for a particular business and are therefore custom goods. Custom-branded or personalized boards are final sale once custom work begins, except for qualifying damage, a material defect or an error caused by Bedminster Boards.
Do not return a board without contacting us first. An authorized return must follow the instructions we provide so the board can be identified, protected and routed correctly. Unauthorized returns may delay or prevent resolution.
An approved refund will normally be sent to the original payment method. Bank and payment-processor posting times are outside our control. A refund or replacement may be limited to the affected board or affected part of the order when the remainder of the order is correct and usable.
Shipping damage, defects and our errors
Inspect a delivered or shipped board promptly. Contact us within seven calendar days after receipt if a board appears damaged, materially defective or different from the confirmed personalization.
- Provide the order information and clear photographs of the board, engraving, packaging and any visible shipping damage.
- Keep the original packaging until we confirm that it is no longer needed for a carrier claim or return.
- Do not use, wash, oil, alter or repair a board that may need to be inspected or returned.
When the claim qualifies, Bedminster Boards will work with the purchasing client to repair the board, replace the affected board or issue an appropriate refund. The remedy will be selected reasonably based on the nature of the problem, available materials and the closing schedule.
This policy does not cover ordinary wear, accidental damage after delivery, misuse, improper storage, dishwasher use, soaking, exposure to excessive heat, failure to follow care instructions or unauthorized refinishing or repair.
Natural wood, handcrafted variation and care
Every Bedminster Board is made from real hardwood. Grain direction, figure, knots, mineral streaks, color, tone and the appearance of accent woods naturally vary from board to board. Wood also changes gradually with age, light, humidity and use.
Product and gallery photographs are examples of our work, not promises of an identical grain pattern or exact strip arrangement. Reasonable variation in wood appearance, dimensions, handcrafted details or color is part of the product and is not a defect.
Boards are not dishwasher safe. Follow the care instructions included with the gift. Do not soak the board, leave it wet, expose it to excessive heat or allow it to remain against a wet surface.
Capacity, materials and availability
Bedminster Boards limits new Reserve relationships according to the production and service capacity of our owner-operated workshop. This protects the quality and responsiveness expected by established clients; it is not an artificial countdown or guarantee of geographic exclusivity.
Wood species, accent woods, packaging components and other materials may become unavailable or change in appearance. When a reasonable substitution is needed, we will preserve the overall quality and character of the product and communicate a material change before proceeding when appropriate.
We may limit quantities, pause new-client enrollment or temporarily close an online ordering option when necessary to protect committed customer work.
Tax and business-expense treatment
Bedminster Boards provides purchase records but does not provide tax, accounting or legal advice. The deductibility or other tax treatment of a closing gift depends on the purchaser’s circumstances, the recipient, the business purpose, applicable limits, recordkeeping and current law.
No statement on this website guarantees that all or any part of a purchase will be deductible as advertising, a business gift or another expense. Clients should keep appropriate records and consult their own qualified tax professional before relying on a particular tax treatment.
Website, checkout and customer accounts
You agree to provide accurate information, use the website only for lawful purposes and protect the confidentiality of any customer-account password. Notify us promptly if you believe an account or transaction has been used without authorization.
We attempt to keep product, price, image and availability information accurate. We may correct typographical, technical or pricing errors and may cancel or revise an affected order before fulfillment. We do not guarantee that the website will be continuously available or free from every error, interruption or security risk.
Links to third-party websites or payment services are provided for convenience. Their services and policies are controlled by those providers.
Intellectual property
The Bedminster Boards name, The Reserve name, website design, original photographs, written copy, product presentation, tree artwork and other Bedminster Boards materials are owned by or licensed to Bedminster Boards. They may not be copied, republished, sold or used to imply affiliation without permission.
A client retains its rights in the branding material it supplies. Providing branding material gives Bedminster Boards a limited permission to use it to evaluate, produce, maintain and fulfill that client’s Reserve as described in these policies and our Privacy Policy.
Responsibility and limitation of liability
Nothing in these terms removes a right or remedy that cannot lawfully be limited. To the extent permitted by law, Bedminster Boards is not responsible for indirect, incidental, special or consequential losses arising from website use, a delayed closing, lost business opportunity, third-party delivery, misuse of a board or information supplied incorrectly by a client.
To the extent permitted by law, Bedminster Boards’ total responsibility for a claim relating to a product or order will not exceed the amount paid for the affected product or order. This limitation does not apply where applicable law requires a different result.
Governing law and policy changes
These terms are governed by the laws of the Commonwealth of Pennsylvania and applicable federal law, without limiting any consumer protection that must apply under law.
We may update these policies as our products, website, payment methods, fulfillment process or legal obligations change. The revised version will be posted with a new effective date. Changes apply prospectively and do not remove rights already attached to an accepted order.
If one provision is found unenforceable, the remaining provisions continue to apply to the fullest extent permitted by law. A delay in enforcing a provision is not a permanent waiver of that provision.
